Aim to develop connections with your clients on a personal level. However, there is no need to be best friends with the clients; maintain a level of professionalism, yet create a human connection.  

Keep the Communication Concise and Clear  

At times, clients face challenges while attending meetings and are short of time. Respect their time and try to keep communication short and crisp. Use the words carefully and keep the authority or state in mind. Avoid using filler terms or words like 'perhaps,' and 'numerous' to avoid confusion.  

Keep a Check on the Tone  

The tone of voice used in the conversation has a significant impact, more than the words that you use. If the tone is too harsh, the client may feel you are being disrespectful. Maintaining communication can be difficult if the tone is strict. Use the right tone to ensure that your message is received as intended. 

Be an Active Listener 

When involved in client communication, you do not have to be the one communicating. You need to understand that there may be situations where you have to sit back and listen to other people's perspectives. Be an active listener and try to understand their concerns.

You may take your client's preferences to decide the frequency of the meetings. If the client is busy, you may suggest having a daily scrum of 15 minutes. Having consistent communication with the client will keep them updated and allow you to be aware of whether their needs are being fulfilled. 

Maintain Transparency  

Transparency is critical and could serve as the foundation for an effective client relationship. Whether you have good or bad news, avoid hiding facts from the client and communicate them effectively. Be upfront about any kind of news or change. Discuss the necessary developments that could impact the client's business. In case of no communication, the client may assume the worst and start feeling cheated. This can even impact your loyalty and take away the client. Therefore, you should be very specific and maintain transparency with the clients. 

Set Expectations and Boundaries  

You may tell your clients about your availability and might want to communicate with them. However, it might be impossible to always be available and communicate with the client. You need to set boundaries and expectations. You may not want the client to call the account manager after work hours or intervene in the client's personal life. Therefore, it makes sense to know your limitations and set expectations accordingly. Ask them about their availability and tell them about yours to have effective client communication.
